The situation.
An established design and wayfinding firm with close to 20 years of healthcare and institutional work had a bottleneck in its proposals. Scoping and packaging each bid took hours the team would rather spend designing.
Before AI could help with bids, the firm needed a safe place for it to work: a machine set apart from everyday computers, the tools installed and tested, and a workspace that holds the firm's own files and knowledge.
What we built.
Dedicated AI workstation
A new Windows laptop set up from scratch for AI work and kept apart from the firm's everyday computers. We ran every update, checked the built-in virus protection, turned on two-factor sign-in for the AI accounts, and saved each new login to the firm's existing password manager.
Full AI toolset
The AI assistant, the editor it runs in, a notes app for the workspace, and file sync with the firm's cloud storage, all installed, signed in, and configured for daily use.
Organized workspace
One workspace the AI reads at the start of every session, with folders for clients, proposals, operations, brand assets, the team, and reference knowledge. An instruction file tells the AI who the firm is and how it works.
Daily routine and backup
A one-page open-and-close routine for the workstation. Each session starts with the AI catching up on where work left off and ends with a full backup to an external drive and the firm's cloud storage.
Security and structure guides
Two one-page guides for the firm's leadership. One lays out how to check the firm's internal systems for weak spots. The other maps where those systems live and where their backup copies sit.
Where it stands.
The firm bought the laptop, and the workspace and guides built on it belong to the firm. The daily routine closes every session with a fresh backup in two places.
Proposals prompted the project. The workstation and workspace give the firm a secure, organized place to take on that work.
