The situation.

Context

An established design and wayfinding firm with two decades of work for healthcare and institutional clients had a bottleneck where it hurts most: proposals. Every bid meant scoping and packaging from scratch — careful, important work that ate hours the team would rather spend designing.

The goal was to speed up the proposal process without adding headcount, and to do it on a dedicated, secure setup the firm owns and controls.

A dedicated machine configured from scratch and optimized for AI work, with secure backup — a sandboxed, higher-security device separate from day-to-day computers.

The full AI toolset installed, authenticated, and tailored to the firm's workflow, with a knowledge base built around how they actually scope and price work.

Owned outright

Proposals that used to start from a blank page now move through a system built around the firm's own services and language. The whole setup runs on the firm's hardware and is owned outright — no per-seat licenses, no platform they can't leave.
